Checklist
Checklist
1. Overdue fees and/or library items
These will stop you from graduating, even if you have completed your program requirements.
It can take up to three business days from the time of payment/return for the hold to be removed from your graduation record, so please check myGriffith to view any outstanding balances. Note the following must be checked by phone:
- Library: +61 7 3735 5555
- Accommodation: +61 7 3735 7575
.
2. Your details
Name
Your degree certificate will be printed with your legal name as shown in your myGriffith > My details. This name must match the name recorded in the Unique Student Identifier registry (onshore students only).
If you need to officially update your name, you must submit a Change of personal details form and supporting documentation at least three business days before our deadline to be approved for graduation (see below).
If you need to update your name in the Unique Student Identifier registry, you need to do this before you submit a Change of personal details form and supporting documentation.
A fee will apply to reprint your degree certificate if you submit your request after the deadline.
Contact details
If you graduate in a non-ceremony round or choose not to attend in a ceremony round, please ensure the following are up to date by the deadline to be approved for graduation (see below) to assist timely delivery of your degree certificate:
- Your mailing (postal) address, not just your home address
- Your preferred email address
- Your daytime phone number, particularly for overseas addresses.
Degree certificates returned due to incorrect address details will incur a fee to be re-sent.
Your certificate will be sent via registered post (within Australia) or international courier (overseas).
3. Computing access
Your computing access will change on the day your award is conferred (this may be different from the day of your graduation ceremony).
If your award is conferred in a non-ceremony round, your access will change before you are invited to a graduation celebration.
Learn what changes will happen on your conferral day and make sure you save files before your conferral day from your student H: drive, Google drive and Office 365 OneDrive if you want to keep them.
4. Cross-institutional study
If you choose to complete your program by doing courses at another institution, please be aware the other institution may not release results in time for you to meet our eligibility deadline.
Please contact the Student Connect Centre at the other institution to find out when they will release their results so you can compare them with our dates.
You'll also need to find out how quickly you can get an Official Academic Transcript (including an explanation of results) from the other institution because you will need to submit this document with your Credit for Prior Learning application at least two days before our deadline to be approved for graduation (see below).
5. Eligibility
You are responsible for checking your graduation status via myGriffith > myGraduation by the stated deadline (see below).
An email from your Course Convenor (or any other Griffith University staff member) saying you have met your degree requirements does not replace the need to check your myGraduation status. You cannot graduate unless your status is listed as 'Approved'.
A deferred or supplementary exam at Griffith will stop you from graduating if the result is not released by the stated 'Last day to be approved' deadline (see below).
There are four graduation statuses:
- Potential - Your record is yet to be checked, so please don't make any arrangements for graduation.
- Conditionally Approved - You are likely to graduate, but only if you complete the remaining conditions for your program (usually the courses you are currently enrolled in).
- Approved - You have met the requirements of your program and are ready to graduate - congratulations!
- Not eligible - You will not meet your program requirements in time for the current graduation round. You will automatically be considered for the next available graduation round.
Eligibility conditions:
Eligibility to graduate is in accordance with the Graduations Procedure, which includes completing all program requirements and:
- having a verified Unique Student Identifier (onshore students only)
- not having any overdue fees or charges
- not having any overdue library items
- having completed the mandatory Academic Integrity module
The award will not normally be conferred if one or more of these conditions is not met within 10 years of study being completed, unless the student can demonstrate exceptional and/or compassionate circumstances, subject to approval.
